Connect one QuickBooks Online company to the current RapidCents business. You can use Sandbox or Production. Sandbox is labeled testing and safe to experiment. Production is labeled live and connects to real QuickBooks data.
Who can use this. Integrations must be enabled, QuickBooks must be active, and you need quickbooks.connect or quickbooks.view, or super admin. The module can be turned off. The page then says QuickBooks Integration Not Available.
Before you start. You need a QuickBooks Online company you are allowed to authorize. You cannot connect Online while QuickBooks Desktop is pending or active for the same business.
Steps
- Open Integrations, then QuickBooks. The title is QuickBooks Online. The subtitle is: Connect and sync RapidCents settlements to QuickBooks.
- If you see No Business Selected, use Switch business and come back.
- If you see QuickBooks is not activated, open Go to Integrations and activate it first.
- On the Connection tab, choose the environment: Sandbox or Production.
- Choose Connect. Complete the Intuit authorization and return to RapidCents.
- Confirm Company, Realm ID, and Last sync. Connect changes to Reconnect when a connection already exists.
- If the banner says QuickBooks integration is temporarily disabled, wait. Do not create accounting entries by hand from this article.

After you save or submit. A successful return shows the connected company. No payment is synced until a qualifying sale, refund, void, or wallet close happens, or you run a manual sync.
Example. Example only: Example Cafe, in Sandbox, chooses Connect and selects the fictional QuickBooks company Example Cafe Books. The Connection tab shows that company and a realm id. Last sync may be empty until the first sync. This example is not a real company.
Troubleshooting
- QuickBooks Desktop is already connected. Disconnect Desktop or leave it unused. Online and Desktop cannot both be the active connection.
- You cancelled the Intuit screen. RapidCents stays not connected. Start Connect again.
- The environment is Production. You are authorizing real books. Use Sandbox when you only want to test.
